Terms of Service

The terms that apply when you use SUSIBooks for your Philippine business.

Last updated: 26 October 2026
1

This Agreement

These terms govern your use of SUSIBooks, a hosted bookkeeping, invoicing and BIR reporting service for Philippine businesses. By creating an account you agree to them. If you are accepting on behalf of a business, you confirm you are authorised to do so.

The business that operates SUSIBooks is identified in your service agreement and on the invoices issued to you. Where these terms and a signed service agreement disagree, the signed agreement wins.

2

The Service

SUSIBooks records the transactions you enter, keeps the resulting books, prints sales invoices and official documents using the details you provide, and exports BIR reports such as the Sales Book, Purchase Book, 2550Q working paper and trial balance.

We provide software, not accounting, tax or legal advice. We are not your accountant, your auditor or your tax agent, and using the service does not create a professional relationship of that kind.

3

BIR Registration and Filing

What the software can and cannot do

SUSIBooks prepares documents from the taxpayer details you enter and from the BIR Form 2303 you upload. It cannot verify with the Bureau of Internal Revenue that those details are correct, and it cannot file anything on your behalf.

You are responsible for:

  • entering your registered business name, TIN, branch code, RDO code, PSIC code, tax type and address exactly as they appear on your Certificate of Registration;
  • uploading and verifying a genuine, current BIR Form 2303 before finalizing or printing invoices;
  • reviewing every invoice, book and return before you issue or file it;
  • meeting your own deadlines, keeping your own backups, and complying with the National Internal Revenue Code and BIR issuances;
  • informing us promptly if your registration changes — a new branch, a change of tax type, or cancellation of registration.

A document produced while your registration details were wrong, or before you were registered, remains your responsibility. We do not warrant that any report or invoice will be accepted by the BIR.

4

Accounts and Security

You are responsible for the accuracy of your account information, for keeping your credentials confidential, and for everything done under your account. Tell us immediately if you believe an account has been compromised.

Access to financial documents is controlled by roles inside your organization. You decide who holds which role; we do not override those decisions except where the law requires it.

5

Fees and Payment

Paid plans, prices and billing periods are those shown at the time you subscribe or as agreed in your service agreement. Fees are exclusive of applicable Philippine taxes unless stated otherwise.

Payments are processed by our payment provider. We do not store full card details. Late or failed payments may suspend access to paid features after notice.

Refunds are governed by your service agreement and by applicable Philippine consumer law.

6

Your Data and Content

You own the business records, documents and files you put into SUSIBooks. You grant us the limited licence needed to host, process, back up and display them so we can provide the service.

Our handling of personal data is described in the Privacy Policy, which forms part of these terms.

You are responsible for having a lawful basis to process the personal data of your own customers and suppliers that you enter into the system.

7

Acceptable Use

You must not use the service to:

  • issue invoices or documents for a business that is not registered, or that misstate a taxpayer identity;
  • falsify books, records or tax reports;
  • upload a BIR Form 2303, or any document, that you are not entitled to use;
  • attempt to access another organization's data, or interfere with the security or availability of the service;
  • break any law, including the National Internal Revenue Code.

We may suspend or close an account we reasonably believe is being used in breach of this section, and will report where the law requires it.

8

Availability and Changes

We work to keep the service available and to maintain the records correctly, but the service is provided on an "as is" and "as available" basis to the extent permitted by Philippine law. Planned maintenance is announced where practical.

Features may change. We will not remove functionality you rely on for statutory record-keeping without notice and without giving you a way to export your data.

9

Limitation of Liability

Read this part

To the extent permitted by law, we are not liable for indirect or consequential loss, loss of profit, or loss arising from data you entered incorrectly, from documents you issued before your registration was in order, or from penalties assessed by the BIR for filings you made or failed to make.

Where liability cannot be excluded, our total liability arising out of or relating to the service is limited to the fees you paid us in the twelve months before the event giving rise to the claim.

Nothing in these terms limits liability for fraud, wilful misconduct, or any liability that Philippine law does not allow to be limited.

10

Termination and Export

You may stop using the service at any time. We may suspend or terminate access for material breach, for non-payment after notice, or where we are required to by law.

On termination you can export your data for a reasonable period. Records that Philippine tax law requires to be preserved will be retained for the required period, as described in the Privacy Policy.

11

Governing Law

These terms are governed by the laws of the Republic of the Philippines. Disputes are subject to the exclusive jurisdiction of the courts of the place where the operator is registered, unless a signed service agreement provides otherwise.

12

Changes to These Terms

We may update these terms as the service or the law changes. Material changes will be announced in the app or by email at least fifteen (15) days before they take effect. Continuing to use the service after that date means you accept the updated terms.
